Scope of Services

Property Management services
Commercial properties – 10 units
Managing and monitoring rental collection from each of the 10 commercial tenants
Chasing arrears from tenants including engagement and liaison with solicitors and debt collection agents
Arranging insurance for all properties
Monitor rent review dates and engaging with surveyor to perform rent reviews, negotiation with tenants and agreeing new rental amounts
Actively managing new tenant find process with agent on empty properties, reviewing potential applicants
Communication with agent on empty properties, due diligence on potential tenants, negotiation of new lease terms and engaging with solicitor throughout the lease discussion and agreement process
Management of process when leases come to an end and negotiations with tenants to renew
Engaging with builders on any maintenance works required on the commercial properties that are the landlords responsibility or requiring to be done pre-let
Residential properties – 21 flats
Acting as contact for all professionals from solicitors to agents to surveyors for any other ad hoc matters concerning the properties
Point of contact for lettings agent for residential units including monitoring rent collection, vetting of tenants
Field all requests (daily/weekly) from agent for maintenance works required at the properties raised by the tenants and approve/request alternative quotes for work required
Accounting, tax, VAT and cosec services
Review of VAT returns and timely submission ensuring all VAT due is reclaimed
Preparation of annual accounts and tax returns for submission to HMRC and Companies House
Managing all company secretarial requirements (including updating details of all 30+ trustees due to CoEJ beneficial ownership)
Assisting and dealing with any queries from ML on the management of company’s books on Quickbooks
Agent for HMRC purposes on behalf of both companies
Provision of registered office facility for all mail correspondence
Review of financials and issuing monthly management accounts to the Board per the JV agreement
Management of distributions to both JV partners for profits earned
Maintaining registers for directors / making changes at Companies House etc
Maintenance of share issues following valuations and dealing with all necessary paperwork including issue of share certificates and filing with CH at each rights issue
Providing tax and VAT consultancy advice on property matters
Monitoring funding requirements to ensure calls for capital are made when property improvement expenditure exceeds capital injected by shareholders
